Thank you for accepting ASCCP’s invitation to participate in the upcoming CME activity, ASCCP’s 2027 Annual Meeting on Anogenital & HPV-Related Diseases being held at the Hyatt Regency McCormick Place Chicago, April 15-17. This document serves as an agreement between Annual Meeting virtual oral abstract presenters and ASCCP. Your participation in the in-person Annual Meeting is not required. Information about the activity and details of the commitment are outlined below.
PLEASE NOTE: Abstracts that have been presented previously (within the past year) are eligible. However, manuscripts based on the submitted work are NOT eligible if they have already been published in any journal prior to submission, or if they will be published before presentation at ASCCP’s Annual Meeting.
REGISTRATION
Virtual Oral Presenters are required to register for the 2027 Annual Meeting if they plan to attend.
PRESENTATIONS
Virtual Oral
Presenting Authors who will be recording the presentation selected are required to:
- Create their 10 minute (minimum time) lecture(s) using the official ASCCP 2026 PowerPoint template, (speaker hereby grants to ASCCP the non-exclusive rights to access, use, and copy all such original materials contained therein, in perpetuity)
- Deliver final lecture(s) to ASCCP by January 13, 2027 to be reviewed to ensure ACCME accreditation compliance and pre-recording.

All lectures presented at ASCCP meetings are also shared with participants as a PDF.
DISCLOSURES
All virtual oral presenters are required to submit all relevant financial relationships to ASCCP for review and, if necessary, resolution. Failure to disclose or to respond in a timely manner will result in disqualification from participation in this CME activity. A relevant financial relationship form must be submitted prior to the activity.
All presentations are required to be free of commercial bias, and any information regarding commercial products/services is to be based on scientific methods generally accepted by the medical community. When discussing therapeutic options, a speaker may only use generic names. If it is necessary to use a trade name, those of several companies should be used. Further, if the presentation(s) should include discussion of unlabeled or investigational use of a commercial product, the speakers are required to disclose this information to the participants. Employees of commercial interests cannot present per ACCME.
Note: As an accredited provider of education, ASCCP requires sufficient time to review and approve all content contributions made by a virtual speaker. Therefore, if you are serving as a virtual speaker at the 2027 Annual Meeting, adherence to the content submission deadlines is imperative. Once lectures are approved, no changes are allowed.
TRAVEL POLICY
Travel is not covered for abstract presenters at this meeting. Presenters will not receive an honorarium for speaking at this meeting.
AUDIO & VIDEO CAPTURE
Recordings will be conducted by ASCCP and may be used in future ASCCP marketing, promotions, advertising, online meeting education, and social networking campaigns.
OWNERSHIP AND USE OF MATERIALS
As between the ASCCP and you, you will be the sole owner of any materials developed, submitted and/or used by you in connection with the Event (the “Materials”). You represent and warrant (a) that the Materials are factually accurate and contain no libelous or otherwise unlawful statements; (b) that you are the sole author and owner of the Materials and/or have obtained the right to use and license the Materials as contemplated hereunder (e.g., from your employer, third-party content owner(s), etc.); and (c) that such use and license will not violate the proprietary or personal rights of any third party (including, without limitation, copyrights, trademarks or privacy rights). While you will own and may use without restriction the Materials you develop and submit, nothing herein shall be construed as granting you permission to use any materials or intellectual property belonging to ASCCP, including, without limitation, its name, logos, trademarks, copyrighted materials, photographs, or video or audio recordings, or any materials developed or submitted by and belonging to any ASCCP faculty member.
Your Grant of Rights to the ASCCP.
You grant to the ASCCP and its designees the following rights and licenses on a non-exclusive, irrevocable, worldwide, sub-licensable basis:
- The right to record your presentation(s) and/or Materials on audio/video, and to reproduce, distribute, live stream, sell and otherwise make available transcripts, copies, on-demand products and audio/video recordings of the same, in whole or in part, for any and all lawful purposes and in any form or format, including, without limitation, print, current and future electronic media, social media platforms, and the internet and other online networks (collectively, “Format”);
- If applicable, the right to reproduce, distribute, sell and otherwise make available transcripts, copies, and on-demand products of the presentation(s) and/or Materials that you have pre-recorded and submitted to the ASCCP, in whole or in part, for any and all lawful purposes and in any Format;
- The right for your presentation(s) and/or Materials to be presented by other speakers if this Agreement is terminated early or if you are unable to attend the Event due to illness, death of a family member, or as determined by the ASCCP;
- The right to use your name, likeness, image, photograph and biographical data in connection with the promotion and distribution of the presentation(s) and/or Materials and any ASCCP activities related thereto
- The right to include all or part of the presentation(s) and/or Materials in presentation slides, handouts and other Event materials, which are made available in any Format and the right to revise the Materials as deemed appropriate for inclusion thereof; and
- The right to make the presentation(s) and/or Materials available in any Format and to make derivatives of all or part of the presentation(s) and/or Materials in any Format and to use the same for any of the purposes described in this Section.
INCLUSIVE LANGUAGE
The ASCCP is committed to upholding the highest standards of excellence in an academic community. The ASCCP is enriched by valuing diversity, which encompasses recognizing and supporting the experiences, identities, ideas and perspectives of individuals from all groups of people including those of different age, socioeconomic status, ability/disability, ethnicity, race, gender, gender identity, sexual orientation, culture, or any other identity and experience. The ASCCP is committed to ensuring that our members act respectfully and with civility during our Annual Meeting, the social events we sponsor, and in the conduct of our professional lives. We hold ourselves to the highest standards of decorum and aspire to be leaders who value fair treatment of others and have high regard for the differences that we each bring to this meeting and to our workplaces, as well as to the world that we share. We will not tolerate acts of bullying, discrimination or harassment of any kind. During our meeting please carefully consider your speech and actions, to protect each other from demeaning, discriminatory, or harassing behavior and language.
